Role: As the Executive Support & Office Manager, you will play a crucial role in ensuring the smooth functioning of our office environment and providing high-level support to our executive team. You will be responsible for overseeing administrative operations, managing office resources, and facilitating efficient communication both internally and externally. This role demands a proactive, detail-oriented individual with exceptional organizational, communication, and problem-solving skills who can quickly adapt to changing business priorities. Executive SupportCalendar and Meeting Management: Coordinate and manage complex schedules, appointments, and travel arrangements, and ensure meeting rooms and tech are set up as needed (and expense reports) for the 3 Managing Partners. Expense Management: Collect and manage supporting receipts, credit card reports, etc. Communication Management: Serve as a primary point of contact between executives and internal/external stakeholders, managing -communications effectively and professionally. Supports Head of Talent with people operations: Serve as primary point of contact for onboarding and offboarding employees. Document Preparation: Prepare and edit correspondence, reports, presentations, and other documents as required. Confidentiality: Handle sensitive information with the utmost confidentiality and discretion. Office OperationsOffice Administration: Oversee daily office operations, including managing office supplies, equipment maintenance, and facility management. Vendor Management: Liaise with vendors and service providers to ensure office needs are met and negotiate contracts as necessary. Event Planning: Plan and coordinate company events, meetings, and other activities to foster a positive work environment. Budget Management: Assist in the preparation and monitoring of office operations budget, ensuring cost-effectiveness. Policies and Procedures: Develop and implement office policies and procedures to improve efficiency and compliance. QualificationsBachelor's degree 5+ years of experience in executive support and office management roles. Proven record of accomplishment of managing multiple priorities and working in a fast-paced environment. Organizational Skills: Exceptional ability to organize, prioritize, and manage multiple tasks with attention to detail. Communication Skills: Strong verbal and written communication skills, with the ability to interact effectively with all levels of the organization. Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Zoom, Microsoft Teams, and other relevant software. Other responsibilities include running the tech implementation process for our conference room technology, and other ad hoc tech as needed. Problem-Solving Skills: Ability to anticipate needs, identify issues, and develop effective solutions proactively. Interpersonal Skills: Excellent interpersonal skills, with a professional demeanor and the ability to build positive relationships. Additional Requirements: M33 is an in office- environment with expectations to be in the office 5 days a week. Flexibility to work beyond regular business hours as needed.Ability to maintain confidentiality and handle sensitive information with discretion.
