Personal Assistant
at Lancashire Group
The primary purpose of the role is to provide secretarial and administrative support to the LICL Chief Executive Officer, Group Chief Risk Officer and LICL Deputy Chief Underwriting Officer. This role will also be required to support other Personal Assistants during periods of leave and provide basic HR administrative support to the Bermuda office as required.
Specific Responsibilities
Diary & Workload Management
- Maintaining the diaries of the managers, ensuring relevant parties are aware of when meetings and visits are booked.
- Assisting the managers in the management of their workloads, for example: supporting them with forward planning; flagging items for their attention sufficiently in advance; compiling and monitoring action logs; preparing responses; and drafting reports.
- Handle and forward email messages and telephone calls as necessary.
** Organisation & Administration of Meetings**
- Scheduling meetings on behalf of the managers, including making room bookings, liaising with outside organisations to organise dates and times.
- Preparing and circulating agendas for meetings to all parties sufficiently in advance of the meetings.
- Coordinating, drafting and circulating correspondence and papers to meetings and ensuring they are appropriate and timely.
- Prompting relevant parties for reports and other requirements sufficiently in advance.
- Taking minutes of meetings and circulating these to relevant parties once completed.
** General Administration and Duties**
- Organise travel arrangements.
- Preparation and submission of expense claims for the managers.
- Provide basic administrative support to the Bermuda HR function, including:
- Assisting with onboarding administration and new joiner inductions.
- Assisting with employee communications and HR correspondence.
- Assisting with general HR administration as required.
- Support the activities of the Health & Safety Committee.
- Other usual secretarial and personal assistant duties as deemed appropriate and necessary.
- Any other duties as required.
Essential Skills & Requirements
- Previous relevant Team PA experience gained, ideally within an Insurance or Financial Services organisation.
- Previous experience in minute taking is essential.
- Experience providing administrative support to an HR function would be advantageous.
- Ability to multi-task and prioritise tasks accordingly.
- Excellent verbal and written communication skills.
- Excellent time management skills.
- An outgoing personality.
- Strong numeracy and attention to detail.
- Strong work ethic.
- Proficient with Microsoft Office applications.
- Experience with SAP Concur would be beneficial.
- Ability to work flexibly to meet business needs including extended hours if required.
