About the Role

We're seeking a motivated and organised *Bookings Officer to join our team in Osborne Park on a permanent full-time* basis.

This is an excellent entry-level opportunity for someone who enjoys working in a fast-paced healthcare environment, coordinating appointments and providing exceptional service to clients and internal stakeholders.

Reporting directly to the Bookings Manager, you will play an important role in supporting the smooth delivery of occupational health services by managing medical bookings, responding to enquiries and ensuring clients receive a professional and efficient experience from initial contact through to appointment completion.

No previous healthcare experience is required — we are looking for someone with the right attitude, strong communication skills and a willingness to learn. Full training and support will be provided to help you develop the skills and knowledge required to succeed in this rewarding role.

This role requires flexibility, with some shifts commencing at *6.30am*. The successful candidate will be adaptable, customer-focused and comfortable managing multiple priorities in a busy service environment.


Key Duties & Responsibilities

You will be responsible for, but not limited to:

  • Coordinating and scheduling medical appointments for clients in a timely and efficient manner.
  • Managing inbound calls, monitoring phone queues and ensuring enquiries are handled professionally.
  • Providing exceptional customer service to clients, candidates and internal stakeholders via phone and email.
  • Quality checking medical results and supporting accurate processing of client information.
  • Maintaining accurate records through data entry and administration processes.
  • Monitoring key performance indicators (KPIs), including client wait times and reporting requirements.
  • Supporting the effective flow of bookings and ensuring client requirements are accurately captured.
  • Completing general administration duties to support the wider bookings team.
  • Identifying and escalating issues to ensure a positive client experience and efficient service delivery.
  • Working collaboratively with internal teams to support operational priorities and business requirements.

The successful candidate will be a confident and organised customer service professional who enjoys working with people, solving problems and delivering a high standard of service in a busy healthcare environment.

Essential Requirements

  • Excellent communication skills with a professional and confident telephone manner.
  • Strong customer service skills with the ability to build positive relationships with clients and stakeholders.
  • Strong administration skills with excellent attention to detail and accuracy.
  • Ability to manage competing priorities and work effectively in a fast-paced environment.
  • Strong organisational skills with the ability to prioritise and multitask.
  • Ability to work independently while also contributing positively as part of a team.
  • Proficiency in Microsoft Office applications, including Outlook and Excel.
  • Flexibility and willingness to support additional tasks and changing business requirements.

Desirable

  • Previous experience in healthcare administration, bookings coordination, contact / call centre or customer service environments.
  • Experience managing high-volume phone enquiries or appointment scheduling.
  • Knowledge of medical terminology or occupational health services.
  • Experience working with booking or client management systems.
