*Job Summary:*| The Strategy and Operations Associate position supports the Department of Psychiatry by helping shape how operational systems, information, and shared resources are governed and improved across the department. Working within the Strategy Core's Project Management Office, the position combines operational improvement, governance, project coordination, and knowledge management to strengthen departmental operations and improve user experience. The position partners with project management, data governance, and process owners in each division to understand operational needs, establish governance and standards, improve usability and information access, document how systems function, and build user capability. The position also provides project coordination for selected departmental initiatives. Key Responsibilities: 75% Operational Systems Governance and Improvement

  • Utilize and develop tools across Smartsheet, SharePoint, Intranet, and other platforms to enhance departmental operational capabilities, with opportunities to learn and work with Power BI and Power Automate.
  • Establish and support practical governance structures and practices for operational systems in an academic medical setting, including ownership roles, standards, documentation, review cycles, change processes, and transition plans in support of the Strategy Team.
  • Partner with stakeholders to assess workflows, understand user needs, and recommend practical solutions that simplify work, improve reliability, and support long-term sustainability.
  • Support Smartsheet and Intranet development and governance by evaluating existing solutions, establishing standards, developing tools, and product lifecycle management.
  • Develop and maintain system documentation, process maps, knowledge resources, file structures, and information organization practices that improve transparency, usability, and continuity.
  • Develop and deliver training for operational process owners and users.

25% Project Coordination and Strategic Support

  • Provide project coordination for selected departmental initiatives, supporting project managers, sponsors, and operational leaders with stakeholder coordination, implementation planning, status reporting, change adoption, and transition to operational ownership.
  • Facilitate working sessions with sponsors and project teams, preparing agendas and materials, documenting decisions and action items, and following up on commitments.
  • Translate complex or ambiguous needs into clear plans, timelines, responsibilities, dependencies, decisions, and next steps.
  • Monitor project risks, issues, and dependencies and escalate concerns as appropriate.

Work Location:| Hybrid – this role is eligible for a hybrid schedule of 3 days per week on campus and as needed for in-person meetings.

*Qualifications: | Minimum Qualifications:*

  • Bachelor's degree in business, business administration, healthcare administration, public administration, communications, information systems, education, social sciences, instructional design, organizational development, or a directly related field from an accredited institution.
  • 2 years of professional-level experience in supporting business operations, operational systems, governance, project coordination, information management, or organizational improvement.
  • A combination of education and related technical/military/paraprofessional experience may be substituted for a bachelor’s degree on a year for year basis.
  • An advanced degree (Masters or Doctorate) may be substituted for experience on a year for year basis if the degree is in a field of study directly related to the work assignment.

Applicants must meet minimum qualifications at the time of hire. Preferred Qualifications:

  • A master's degree in business, healthcare administration, public administration, information systems, instructional design, organizational development, or a directly related field.
  • 3 or more years of experience in business operations, operational systems, systems implementation, knowledge management, project coordination, or related areas.
  • Experience improving and supporting shared operational and work-management systems (e.g., Smartsheet, Microsoft Project, JIRA, SharePoint, Intranets, Power BI, Power Automate), including governance, ownership, file structures/hierarchies, documentation, access, system changes, and user training.
  • Experience supporting projects through planning, stakeholder coordination, status tracking, implementation, change adoption, and transition to operations.
  • Experience in healthcare, academic medicine, higher education, or another complex matrixed organization.
