Administrative Assistant

at Aerostar International


Summary
Performs a variety of clerical and service functions to support the efficient operation of the division.

Essential Functions
• Provide service for incoming calls, visitors, and correspondence to the Aerostar office.
• Perform administrative functions such as creating documents, handling mail, ordering supplies, accepting deliveries, notary service, preparing expense reports, and maintaining filing.
• Coordinate meeting arrangements.
• Perform various routine administrative tasks for the leadership team.
• Assists with projects within Aerostar.
• Depending on role, may coordinate the collection, storage, and distribution of marketing materials.
• Assists with event planning and logistics.
• Assist with facilities management. May include coordinating with vendors and services providers.
• Coordinate maintenance and parking with building management company.
• Flex hours to support special events and occasional overtime.
• Demonstrate the Aerostar values in daily actions.
• Maintain a clean and safe work area. Follow established safety and ergonomic standards.
• May be called upon to perform comparable duties of a similar or related nature and/or assist in other areas as needed.
• Learning, understanding, continuously improving, and promoting the Aerostar's quality management system in accordance with ISO standards.

Education and Experience
• High school diploma or equivalent education.
• Minimum 2 years related administrative experience is preferred.

Knowledge, Skills, and Abilities
• Exceptional oral and written communications, and customer service skills.
• Proficient with computers, including Microsoft Office programs.
• Strong organizational and problem-solving skills.
• Ability to be flexible and multitask.
• Team player who is self-motivated and has the ability to work with minimal supervision.
• Ability to communicate effectively with team members and leadership staff.
• Minimal travel may be required.
• Annual Motor Vehicle Record (MVR) check required. Refer to Aerostar Vehicle Operations Policy for guidelines.

Physical Requirements and Working Conditions
Physical Requirements: Required to sit, stand, walk, bend, and reach. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

Working Conditions: Exposure to a normal office environment. Position may occasionally require entering a production environment, including exposure to noise, moving machinery, and varied temperatures.
