**Job Title: Administrative Assistant **
S.A. Comunale is seeking an Administrative Assistant to support the Reading, PA Branch.
Provide administrative support to the assigned branch office. Duties include general clerical, purchasing, inventory, and accounting responsibilities and project-based work. Project a professional company image through in-person and phone interaction.
Essential Duties & Responsibilities
Primary duties and responsibilities include the following. Other duties may be assigned.
- Perform general clerical duties to include but not limited to photocopying, faxing, mailing, filing and scheduling appointments.
- Assum receptionist duties, greet public and refer them to appropriate staff members, answer phones, route calls, and take messages when required.
- Sign for and distribute UPS/FedEx/Airborne packages. Distribute incoming mail and prepare outgoing mail including bulk mail.
- Print and maintain all bid documents as well as prepare for all bids.
- Obtain all information necessary for contracts and review sheets.
- Perform basic accounting functions such as billing, accounts receivable, accounts payable.
- Create folders, print drawings, specs, bid bonds, and addendums.
- Request pre-qualifications, bid bonds, etc. for bids.
- Contract review sheets – Insurance / Lein wavers, workers compensation.
- Review specs and know requirements for bids.
- Labor work sheets m and other bid estimate sheets.
- DBE Contractor / Supplier Utilization form.
- Create binders for library and filing cabinet when job is awarded.
- Box up files / folders prior 2 years.
- File executed contracts.
Qualifications
- High school diploma or GED is required.
- 3+ years of administrative experience is required.
- Previous experience in the construction industry is a plus.
- Significant experience with Microsoft applications (i.e. Word, PowerPoint, Excel) is required.
