Position Overview
Melrose Animal Clinic is seeking a friendly, organized, and customer-focused Veterinary Receptionist / Client Care Representative to join our growing team. In this essential front-desk role, you will serve as the first point of contact for clients and their pets—ensuring a positive, efficient, and compassionate experience from check-in to check-out.
The ideal candidate is detail-oriented, thrives in a busy veterinary environment, and has a passion for both client service and animal care.
Some of the responsibilities you will own in this role:
- Greet clients and patients warmly while providing exceptional customer service
- Answer high-volume phone calls and direct inquiries appropriately
- Differentiate routine appointments from urgent/emergency cases and escalate as needed
- Schedule appointments efficiently and accurately
- Obtain and document patient medical history and client information
- Verify patient immunization and testing status
- Enter client, patient, and financial data into veterinary software systems
- Generate invoices and explain charges/treatment plans clearly to clients
- Process payments and maintain accurate financial records
- Communicate patient arrival and treatment needs to veterinarians and technical staff
- Manage retrieval, filing, and storage of medical records
- Maintain an organized and professional front desk/reception area
- Support additional administrative and client service tasks as assigned

Preferred Qualifications
- Previous experience in veterinary reception , animal hospital front desk , or medical reception preferred
- Passion for animal health and client care
- Excellent verbal and written communication skills
- Strong multitasking and organizational abilities
- Comfortable working in a fast-paced veterinary environment
- Proficient with computers and veterinary practice management software
- Positive, dependable, and team-oriented attitude
- Ability to remain calm and professional in stressful or emergency situations
