Veterinary Referral Coordinator Job Summary
The Veterinary Referral Coordinator serves as the primary liaison between referring veterinarians, pet owners, and our emergency and specialty teams. This role is essential in ensuring a seamless referral experience for patients requiring advanced veterinary care.
The ideal candidate will coordinate referral cases, strengthen relationships with referring veterinary clinics, assist with community outreach initiatives, and support communication between departments while maintaining a high standard of professionalism, compassion, and organization.
This role requires frequent local travel (up to 75%) throughout the Chattanooga veterinary community, with occasional overnight travel for networking, outreach, and business development opportunities.
Key Responsibilities
Referral Coordination & Veterinary Client Communication
- Serve as the main point of contact for referring veterinarians and pet owners regarding specialty and emergency referrals
- Coordinate referral intake, consultations, procedures, and follow-up care
- Ensure timely transfer of medical records, diagnostic imaging, and laboratory results
- Maintain professional communication with veterinary clinics via phone, email, and EMR systems
- Ensure referring veterinarians receive discharge summaries and case updates promptly
- Address questions and concerns from clients and referring practices with empathy and professionalism
Veterinary Outreach & Relationship Building
- Build and maintain strong relationships with referring veterinary hospitals and clinic teams
- Conduct regular in-person visits to veterinary clinics throughout the region
- Deliver educational materials, case follow-ups, and hospital updates to referring partners
- Assist with organizing Continuing Education (CE) events, networking opportunities, and referral outreach initiatives
- Gather feedback from veterinary clinics to improve referral workflows and client experiences
- Represent the hospital at veterinary conferences, networking events, and community outreach functions
- Support and maintain referral-focused social media and communication initiatives
Scheduling & Hospital Coordination
- Collaborate with veterinarians, technicians, and specialty departments to prioritize urgent referrals
- Coordinate scheduling for consultations, surgeries, and emergency transfers
- Help optimize referral workflows and interdepartmental communication
- Maintain accurate referral records and reporting metrics
- Participate in team meetings and operational improvement initiatives
Skills Knowledge and Expertise
Required Qualifications
- Excellent communication, customer service, and relationship-building skills
- Strong organizational skills with the ability to manage multiple priorities simultaneously
- Experience working in a veterinary hospital, animal healthcare setting, or client service environment
- Knowledge of veterinary terminology and medical procedures preferred
- Comfortable using electronic medical records (EMR) systems and hospital software
- Valid driver’s license and reliable transportation required
- Ability to travel locally up to 75% of the time
Preferred Qualifications
- Certified Veterinary Technician (CVT, RVT, or LVT)
- Experience in veterinary practice management, veterinary referral coordination, or veterinary client relations
- Experience in a specialty or emergency veterinary hospital
- Background in veterinary sales, outreach, or business development
- Social media or veterinary marketing experience is a plus
