Please note that pursuant to Massachusetts general law, contracted employees are not paid for the eleven scheduled holidays, do not receive any paid, vacation, personal leave benefits, or contribute to the state retirement system or social security. As a state contracted employee, you must participate in direct deposit and contribute towards the Commonwealth of Massachusetts state alternate retirement plan, ("OBRA Plan").
The Department of Elementary and Secondary Education is seeking a Contracted Coherent Math Supports Coordinator who will perform the following essential duties:
Coordinating Contracted Services
The Program Coordinator will support the coordination and monitoring of contracted vendors focused on core and tiered math instruction and programming. Including, but not limited to the Tiered Math Academy.
- Coordinate and monitor contracts with selected vendor(s) who provides programming to LEAs including:
• Assist with developing procedures for coordination and monitoring of the
overall project.
• Implement procedures for coordination and monitoring of the overall
project, including monitoring and reporting project performance data
• Maintain timely and excellent working relationships with participating
LEAs and vendor staff
• Monitor and support the vendor(s) as they coordinate with LEAs,
• Assist with general administrative duties and communications with
participating LEAs such as data-entering information, maintaining file
systems, drafting correspondence, and responding to e-mail and voice mail
inquiries
- Work with Management Analyst to oversee billing and account management
• Review incoming invoices and required documentation and negotiate as
needed with DESE staff and vendor(s) to ensure invoice accuracy
• Maintain accurate and up-to-date record coordination between LEA and
vendor(s) so that billing may happen in a timely manner
• Communicate billing needs and support submission of invoices to Accounts
Payable
• Create, track and manage the monthly budget of this program, providing
updates to the program manager
- Program Evaluation:
• Coordinate with any contracted 3rd party program evaluator, including communication with vendor(s) and LEAs
Coordination of Grants

Create and manage any assigned grants in the Grants Management System in coordination with the Management Analyst.

Complete general administrative duties and communications with DESE grant lead, participating LEAs, and vendor
• Data-entering information
i. Maintaining file systems
ii. Drafting correspondence
iii. Responding to e-mail and voicemail inquiries
- Support ongoing communication with awarded LEAs with regard to their grant(s) including:
• Revising budget to match spending within the spirit of the program
• Updating on spending plan and available monies
• Using funds appropriately
- Work with Management Analyst to support grant management including:
• Processing line-item amendment requests
• Communicating remaining balances
• Additional projects are not anticipated at this time but may be added
depending on the needs of the agency.
• Perform related duties as required.
Preferred Qualifications:
• Applicants must have full-time or part-time, teaching, administration, or coordination experience in a school or district setting
• Excellent organizational and communication skills
• Absence of direct or indirect financial interest in any vendors that may apply for the related bid opportunities
• Experience and fluency with Microsoft Office Products (including Excel).
• Experience with program coordination, program planning and/or program analysis
• Experience and familiarity with core and tiered math instruction, classroom resources, and systems
• Demonstrated commitment in working towards racial equity in education
• Familiarity with student information systems
• Familiarity with Microsoft Teams and SharePoint, Google Products, Zoom
