We are looking for an Office Manager to build and maintain the operational foundation of our fast-growing team and market-defining precision access and visualization platform. This role presents a unique opportunity to shape the workplace culture, optimize daily operations, and make a direct impact on a team dedicated to advancing clinical care. You will have ample opportunities to take full ownership of our workspace, lead employee engagement initiatives, and act as the core cultural ambassador for Illuminant Surgical. Your first year at Illuminant will involve working alongside a team of committed clinicians and engineers, defining and elevating how our office operates. You will help coordinate vendor relations, manage office logistics, and support the execution of key corporate and clinical events. You will work on topics across facilities management, front-desk administration, corporate hospitality, procurement, and event planning. They will have deep experience in administrative support and office operations, with a strong background in vendor coordination and logistics. They will be fluent in Google Workspace and Microsoft Office, and they value modern, high-quality organizational practices. 📝 What You Will Do

  • Architect and maintain a welcoming, highly professional, and collaborative office environment that supports workplace culture and employee engagement.
  • Proactively manage daily office operations, monitoring and reordering inventory, restocking the kitchenette, and maintaining professional presentation standards across all shared spaces.
  • Coordinate complex office logistics, including incoming/outgoing mail, carrier drop-offs, product returns, and procurement of necessary employee equipment and supplies.
  • Lead event planning and workplace coordination, executing company meetings, employee recognition milestones, birthday celebrations, and external event preparations.
  • Manage facility infrastructure by scheduling and overseeing biweekly office cleanings, routine facility maintenance, and external service vendors.
  • Provide front-desk and administrative support, acting as the primary point of contact for guests, clients, and vendors, while securely filing and maintaining critical company documents.

  • Committed to learning and using new skills to get the job done.
  • Excellent foundation in office administration, corporate hospitality, and workplace operations.
  • Excellent fluency in (and intricate knowledge of) Google Workspace (Docs, Sheets, Gmail, Calendar) and Microsoft Office (Word, Excel).
  • Deep experience with vendor management, procurement, and maintaining service level standards for facility maintenance.
  • Deep experience in event planning, meeting coordination, and managing event-related logistics.
  • Comfortable with multitasking in a fast-paced environment and proactively solving operational problems before they escalate.
  • Comfortable with high-autonomy roles, demonstrating strong attention to detail and rigorous follow-through on independent projects.
  • Familiarity with fast-growing startups, technology, or medical device corporate environments a plus.
  • Required: Valid driver’s license and reliable transportation for local operational runs and office errands.
  • Preferred 1+ years of industry experience in office management, administrative support, or a high-touch coordinator role.
