Manager, Physicians Coordinator - Carrell Clinic

GENERAL POSITION SUMMARY:

As an experienced professional in medical practice management, you will be working in a fast-paced, rapidly growing environment where you will be relied upon for your expertise, professionalism, and collaboration.

This is a multifaceted role that requires strong leadership, organizational, and communication skills, as well as a commitment to excellence in healthcare administration. The position will require knowledge to manage administrative process of the organization that includes oversight of functions related to patient scheduling, ordering of ancillary services, surgery scheduling, imaging scheduling, authorization of services from payers, working the revenue cycle process for denials management, enhancing workflow in the practice management system and physician offices, employee performance and adherence to job requirements.

SUPERVISION RECEIVED : Reports to Chief Executive Officer

SUPERVISION EXERCISED : Provides oversight to the coordinator staff.

ESSENTIAL FUNCTIONS:

  1. Plays a key role in ensuring efficient completion of patient scheduling, patient demographics, documentation, communications, and process standardization.
  2. Develops and establishes policies, procedures, and objectives. Ensures their adequate execution, compliance, and updates.
  3. Analyzes general and specific business conditions as they relate to coordinator operations and advises physicians on these matters.
  4. Within scope of authority, oversees the development of systems to properly support the efficient and compliant activities of the coordinator staff.
  5. Promotes effective communication and adequate information flow within the practice.
  6. Oversee the preparation and maintenance of management reports necessary to carry out functions of the coordinator staff as well as to provide actionable feedback to physicians. Prepares periodic reports as necessary or required.
  7. Works with the OrthoLoneStar Revenue Cycle Team to reconcile issues related to authorizations, collections, payment plans, denials and other administrative items that have an impact on revenue generation.
  8. Leads, guides and manages a team of coordinators to achieve daily, weekly, and monthly Key Performance Indicators (KPI's) ensuring group and individual metrics are achieved, and quality standards are met.
  9. Provides feedback and training to coordinator staff in areas that have a negative impact on the Revenue Cycle Process.

Qualifications

EDUCATION & EXPERIENCE:

  1. Bachelor's degree or comparable work experience; master's degree desired.
  2. 4+ years of Healthcare Management experience in a fast-paced, customer-focused environment.

KNOWLEDGE :

  1. Insurance and revenue cycle management with strong knowledge and understanding of prior authorization requirements.
  2. Strong communication skills & a team player.
  3. Willingness to be flexible, roll with the punches, multi-task and troubleshoot problems.
  4. Detail oriented with strong organizational skills.
  5. Exemplifies amazing customer service skills and professionalism.

REQUIREMENTS :

Good phone, communication and people skills. Good working knowledge of office equipment including practice management system, electronic health records and Microsoft Office.

  3. Ability to effectively communicate verbally and in writing.

PHYSICAL/MENTAL DEMANDS :

Requires sitting and standing associated with a normal office environment. Manual dexterity using computer keyboard. Constant use of computer monitor. Frequent use of telephone. Occasional lifting/carrying basic office supplies/equipment up to 15 pounds.
