As Abacum continues to scale (120+ employees today, expected to exceed 170 by
year end) and with the opening of our new Barcelona office, the operational
needs around employee
experience, office management, and day-to-day support have increased
significantly.
To support our growth and ensure a strong employee experience we are looking
for a talented
experienced People & Workplace Coordinator.
This role would focus on operational support across three areas: workplace,
employee
experience, and People Operations support.
Role Purpose
The People & Workplace Coordinator will ensure the smooth day-to-day
functioning of the
office while supporting employees with operational needs and assisting the
People function in
delivering a strong onboarding and workplace experience.
This role allows the People function to remain focused on strategic priorities
while ensuring
employees have immediate support for day-to-day needs.
Key Responsibilities
1. Office & Workplace Management
Act as the primary point of contact for the Barcelona office and coworking
provider.
Responsibilities include:
• Serve as communication’s bridge between our employees and the coworking
• Coordinating with the coworking provider on facilities and incidents
• Coordinate the day-to-day office environment
• Ensuring office supplies, equipment, and materials are stocked and organized
• Supporting office logistics and purchases outside the coworking scope
• Ensuring the workspace remains functional, organized, and welcoming
• Support on international office expansions needed as we grow: NYC HQ,
Argentina,
Toronto → Search, Tendering, Equipment, etc.
2. Employee Experience & Office Engagement
Support the creation of a positive and collaborative office environment.
Responsibilities include:
• Organizing office events and internal gatherings
• Support Quarterly team budgets for Team Buildings
• Proposing activities that encourage team bonding and engagement
• Coordinating team lunches, celebrations, and office initiatives
• Keep track of organized employee milestones during the 1st and 5th
Anniversaries
• Acting as a go-to person for employees in the office when operational needs
arise
This role helps maintain a strong culture and connection as the company grows.
3. Employee Operational Support
Serve as the first point of contact for everyday employee operational
requests.
Examples include:
• Travel coordination and bookings
• Meal arrangements or office logistics
• Resolving office-related issues (equipment, workspace needs, etc.)
• Supporting employees with practical day-to-day needs
4. Onboarding Support
Partner with the People function to ensure smooth onboarding experiences.
Responsibilities include:
• Preparing workstations and office access
• Coordinating with IT to ensure laptops and equipment are ready
• Preparing welcome materials and swag for new hires
• Supporting logistics for employees' first day in the office
5. Executive Support (3h/day)
Given the current workload and growth of the company, should also provide
support to the Co-
Founder.
Examples include:
• Travel coordination
• Booking logistics and reservations
• Administrative support for occasional requests
This would complement the current EA support structure located in the US.
At our current scale and projected growth, this type of operational support is
expected to be
essential to maintain efficiency and a strong workplace experience.
