Position Summary

The Operations Specialist supports the day-to-day operations of the Alongside platform. This role is responsible for executing operational tasks, following through on advisor requests, and keeping work moving across custodians, technology partners, billing, compliance, and internal teams.

This is a hands-on tactical role focused on coordination, follow-up, and consistent execution. The person in this role works from established processes and checklists, escalates issues that require judgment or decision-making, and helps advisors get answers quickly.

**Key Responsibilities **

**Advisor Operations Support **

  • Serve as the day-to-day point of contact for advisor operational requests -- receiving questions by email, ticket, or call, logging them in the appropriate system, and keeping advisors updated on status until issues are confirmed closed.
  • Route requests and coordinate with key partners -- custodians, performance reporting providers (e.g., Black Diamond, Orion), finance and billing, compliance, technology vendors, and internal operations teams -- to drive issues to resolution.
  • Escalate complex or non-standard issues to operations leadership for direction.

**Advisor Onboarding Execution **

  • Execute new-advisor onboarding by working through established checklists, submitting paperwork and account setup requests to custodians, and tracking each step to completion.
  • Coordinate account, login, and access setup across performance reporting, billing, and compliance systems, and schedule kickoff and training sessions with the advisor and relevant internal teams.
  • Maintain onboarding status trackers and flag delays to operations leadership.

**Process Documentation and Maintenance **

  • Maintain SOPs, checklists, and runbooks for recurring tasks, updating documentation as systems and partners evolve.
  • Track operational requests and outcomes to surface recurring issues, and suggest small process improvements where the current approach creates friction.
  • Vendor and Tool Coordination
  • Set up and maintain advisor access across approved technology and reporting tools, and keep records of vendor contacts, account configurations, and integration details.
  • Submit and track support tickets with vendors through to resolution, and help test new tools or product integrations under direction from operations leadership.

**Qualifications **

  • 3-5 years of operations experience in an RIA, broker-dealer, or advisor platform environment
  • Familiarity with custodial platforms (e.g., Schwab, Fidelity) and one or more performance reporting systems (e.g., Black Diamond, Orion)
  • Comfort working with advisor technology tools such as CRMs, document management, and rebalancing or trading systems
  • Strong attention to detail and checklist discipline, with sound judgment to escalate issues that fall outside established processes
  • A service mindset and willingness to own tasks end-to-end

**Work Environment **

  • Prolonged periods of sitting and working at a computer
  • Occasional standing, walking, or lifting up to 20 pounds
  • Travel Expectations: 10%
