Recruitment Specialist (Day Shift) - Full-Time, Remote

at Magic

About Magic

Magic is a leading modern outsourcing platform that connects SMBs to high-quality remote workers, from SDRs to virtual assistants and more. With roots in Silicon Valley, and backing from top venture capitalists, our workers are supercharged with a combination of the latest AI technology and training. We came out of Y Combinator in 2015, have grown to 1,000+ remote workers, and are backed by Sequoia Capital with over $30M in funding.

Why does this role exist?

The Freelance Recruitment Specialist is primarily responsible for end-to-end recruitment and hiring of qualified global candidates to fill the specialized manpower requirements of our Boutique clients. This role focuses on sourcing, interviewing, and endorsing candidates for hard-to-fill, niche positions while ensuring that standard recruitment and selection processes are observed consistently.

What's In It For You

  • Rate: $4.00/hour (freelance)
  • Setup: 100% remote, Philippines-based
  • Shift: Day shift — 9 AM–6 PM PHT (flexible start options: 7 AM–4 PM or 8 AM–5 PM)
  • Training /Onboarding: Paid from day one — structured 1-month program with bi-weekly training sessions
  • Growth path: Freelance Recruitment Specialist → absorbed as Probationary Employee → Senior Recruitment Specialist. The path is real and recent — we've had specialists grow into senior roles within their first year.

WHAT WINNING LOOKS LIKE

  • You consistently maintain a ≥30% client win rate from Day 60 onward
  • You turn around candidates to the Point of Contact within 24 hours of receiving a req
  • Your endorsed candidates show up to every client interview — 0% no-show rate
  • You close at least 1.2 deals per day , pushing toward the 3 per day target
  • You take ownership of a niche req with a limited applicant pool and build your own sourcing approach to close it
  • You finish the onboarding month and pass your Revalida ready to go live independently
  • You are independently productive and pulling your own weight from Day 60 onward — not still ramping

WHO THIS ROLE IS NOT FOR

  • You have recruitment experience but it's sourcing-only — you've never owned the full cycle from intake to offer
  • You need step-by-step direction for each req and struggle to work with minimal supervision
  • You have no exposure to niche or specialized roles
  • You expect processes to stay the same — you're not comfortable with evolving processes/methods
  • You can't describe a real fallout scenario and what you did to recover it
  • Your WFH setup doesn't meet minimum specs (8GB RAM, i5/Ryzen 5, 40Mbps, noise-cancelling headset, backup connection)

Core Responsibilities

Screening & Interview

  • Reviews resumes and chooses the ones that closely match the available job descriptions and qualifications
  • Schedules and conducts interviews with potential assistants according to client qualifications
  • Conducts Mock Calls and Script Readings with assistants, depending on the client's needs

Endorsement & Coaching

  • Facilitates the endorsement of candidates for specialized or hard-to-fill roles, ensuring all recruitment and selection procedures are carried out with consistency and compliance
  • Coaches applicants on areas of improvement and re-records mock calls and script readings, if necessary

Support and Coordination

  • Assists with other recruiting processes from start to finish, while coordinating with other departments regarding any client needs that are not addressed by our current hiring funnels

What You Bring

  • 1–3 years of recruitment experience, preferably in end-to-end recruitment or VA-type recruitment
  • Background in volume/BPO hiring setup is acceptable
  • Experience with stakeholder management and client-facing interactions
  • Proficiency with ATS/CRM systems and recruitment tools
  • Bachelor's Degree in any related course
  • Proficiency with HubSpot, Slack, and other digital collaboration tools
  • WFH Set-Up:
    • Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up
    • Internet speed of at least 40Mbps
    • Headset with an extended mic that has noise cancellation and a webcam
    • Back-up computer and internet connection
    • Quiet, dedicated workspace at home

Your superpowers are...

  • Flexibility and Adaptability — Ability to quickly adjust to changing requirements, new processes, and diverse client needs without extensive hand-holding
  • Strong Attention to Detail — Meticulous approach to candidate assessment, documentation, and quality control
  • Boolean Search Proficiency — Advanced skills in using Boolean operators and search techniques across LinkedIn, ATS platforms, and other sourcing tools
  • Behavioral Interviewing Expertise — Proven ability to conduct structured interviews and assess candidate fit for specific roles
  • Minimal Supervision Required — Self-motivated professional who can work independently while meeting deadlines and KPI targets
  • Challenge-Ready Mindset — Not afraid to take on difficult, niche requisitions and complex recruitment scenarios
  • Team Player Attitude — Ability to adjust and collaborate effectively with both introverted and extroverted team members
  • Strong Communication Skills — Decent verbal and written communication abilities suitable for global candidate interactions

OUR HIRING PROCESS

  1. Application review
  2. HR Interview — 30-45 minutes
  3. 2nd-level Interview — Panel with Recruitment Managers
  4. Final Interview — with Head of Operations
  5. Job offer and onboarding

Reality of the role

This role sits within Magic's Boutique team, which handles specialized client requirements that the standard Classic recruitment funnel can't accommodate. Every role outside the core anchor positions is treated as niche — from SEO specialists and Google Ads managers to supply chain coordinators and U.S. Tax Specialists. The active applicant pool for these roles is almost always small, which means genuine sourcing work is a constant, not an occasional task.

You'll be on a day shift (9 AM–6 PM PHT, with flexible start options at 7 or 8 AM), reporting directly to Assistant Rec Ops Manager. Your first 30 days are fully dedicated to onboarding — shadowing, learning the process, and completing your Revalida before going live on independent reqs. KPI expectations begin at Day 60. Sustained performance at 90 days puts you on track for absorption as a probationary employee.

BEFORE YOU APPLY — ASK YOURSELF

  • You are highly motivated, possess a growth mindset and grit, and are a self-starter who is professional, positive, and not afraid of challenging work — especially with hard-to-fill roles
  • You are passionate about finding the right fit between candidates and clients, understanding that precision in matching is crucial for niche positions
  • You are highly reliable with a Get Stuff Done mindset despite external circumstances. You say what you mean and do what you say. You are consistent and take ownership in situations, large or small
  • You are flexible and trainable, understanding that Magic's approach may differ from other recruitment companies you've worked with
  • You thrive in a high-volume environment while maintaining quality standards across multiple requisitions
  • You thrive in a remote work environment and can quickly pick up online tools, get familiar with our tech stack (G-Drive, Slack, ATS/CRM systems), and communicate well in writing

If you answered yes to all — we want to hear from you. If you answered 'maybe' or 'I'll figure it out' to any of them — the timing might not be right yet, and that's okay.
