WHAT YOU WILL DO:
The Administrative Assistant II performs routine (journey-level)
administrative support work. Work involves disseminating information,
maintaining filing systems and performing internal administrative support
work. Works under moderate supervision, with limited latitude for the use of
initiative and independent judgment.
YOU WILL BE TRUSTED TO:
- Communicate with individuals by phone to retrieve information (such as
correct mailing addresses) and may simultaneously enter basic data into the
computer system.
- Receive and sort faxes and incoming/returned mail.
- Record, screen and processes Employer Responses, and re-sends if
discrepancies are detected or creates cases if needed.
- Review, process, and route all UI documents, forms, or correspondence (such
as withholdings, paper certifications or check stubs) to the appropriate
parties.
- Create claims for basic separation issues and non-monetary issues when
necessary.
- Use the scanner, will process all appeal documentation that arrives on a
daily basis.
- Use File Net to quality check all documents as needed.
- Answer the door intercom and provide visitors with general information to
address their questions
- Assist in dissemination of basic information by answering basic questions
regarding the UI filing process and eligibility requirements, in addition to
resetting or providing instruction on how to set up personal identification
numbers.
- Record claimant contacts on system and monitors lists to ensure claimants
have completed their required contacts.
- May prepare and provide claimants copies of requested documents or
correspondence and answer related questions.
- May research information to solve customer service problems.
- Process specific tasks such as re-qualification, sufficient subsequent
wages, work wage additions, ineligibility reviews, employer verification
forms, and/or work search log verifications.
- Adhere to strict deadlines.
- Perform related work as assigned.
YOU QUALIFY WITH:
- One year of full-time experience that provided knowledge of administrative
support functions and office practices and procedures, or clerical
administration and business management practices, such as preparation,
maintenance and control of forms, records and reports
- Relevant academic credits may be applied toward experience qualifications
for this position.
YOU ARE A GREAT FIT WITH:
- Experience in a government benefits or other benefits/insurance program
- Handling of applications and eligibility determination experience
- Prior customer service and/or call-center experience
- Ability to type 40 words per minute with minimal errors
- Experience using computers
- Knowledge of Microsoft Word, Excel, Outlook, and Internet Explorer
- Excellent verbal and written communication skills
- Bilingual (English and Spanish)
