Internal Bookkeeping Specialist

We are seeking a seasoned Internal Bookkeeping & Billing Specialist to join our internal finance team. This is not an entry-level role—ideal candidates will bring hands-on, lived experience in managing bookkeeping, billing, and financial reporting within a professional services environment.

Key Responsibilities

Duties & Responsibilities (include, but are not limited to):

  • Bookkeeping & Reconciliation: Maintain accurate books, reconcile accounts (bank, credit card, GL), and ensure proper allocation of all transactions.
  • Billing & Invoicing: Prepare timely client invoices, monitor outstanding balances, and proactively resolve discrepancies.
  • Financial Reporting: Assist in monthly/quarterly reporting, and support audits with well-organized documentation.
  • Expense Management: Track expenses, monitor budget adherence, and provide insights on cost control.
  • Collaboration: Partner across teams to ensure accurate billing inputs and maintain open communication with clients when needed.

Qualifications

  • Experience Required: Minimum 2–5 years in bookkeeping and billing (CPA firm, law firm, or professional services experience preferred).
  • Proficiency in accounting systems (QuickBooks or similar) and Excel/MS Office Suite.
  • Strong attention to detail and accuracy; ability to manage multiple priorities.
  • Professional integrity, discretion with financial information, and excellent communication skills.
