Lead Scheduler

Role Summary

The Lead Scheduler is a critical operational role responsible for overseeing and optimizing the scheduling of crews, equipment, and resources across multiple service lines. This individual will serve as the central point of coordination between Sales, Customers, and Operations to ensure projects are properly planned, communicated, and executed efficiently.

This is a highly visible, fast-paced position requiring a proactive problem solver who thrives under pressure, has exceptional attention to detail, and approaches scheduling as a complex operational puzzle. The successful candidate will continuously analyze schedules, maximize crew utilization, identify opportunities to accelerate projects, and quickly adapt to changing customer needs, field conditions, and sales priorities.

The ideal candidate will bring extensive construction or service-based scheduling experience and possess the leadership capability to eventually oversee a broader scheduling function, including mentoring and managing future scheduling support personnel.

Key Responsibilities

  • Lead the day-to-day scheduling and coordination of field crews, equipment, and resources across multiple service lines and complex, multi-phase projects.
  • Continuously monitor and analyze the operational schedule to identify gaps, improve crew utilization, and pull projects forward whenever possible.
  • Maintain a constant understanding of project readiness, ensuring labor, materials, equipment, customer requirements, and operational details are aligned before crews arrive on-site.
  • Serve as the primary liaison between Sales, Customers, and Operations to ensure scheduling expectations are clearly communicated and commitments are met.
  • Hold internal stakeholders accountable for providing accurate and timely project information needed to maintain an efficient schedule.
  • Respond quickly and effectively to daily schedule changes caused by customer requests, field updates, weather impacts, project delays, or shifting business priorities.
  • Utilize scheduling software, operational systems, and Excel to extract data, analyze trends, and make informed scheduling decisions.
  • Communicate professionally and confidently with field teams, sales personnel, customers, and leadership.
  • Develop and continuously improve scheduling processes, workflows, and operational planning strategies.
  • Over time, assist in building and leading a scheduling support function, including training and overseeing future Operations Assistants or Junior Schedulers as the department grows.

Qualifications & Experience

  • 7+ years of scheduling experience within construction, infrastructure, field services, or a similar multi-crew service-based operation.
  • Previous experience serving as a lead scheduler with responsibility for complex project scheduling.
  • Estimating, project management, or operations management experience is strongly preferred.
  • Demonstrated ability to coordinate multiple crews and manage large, multi-phase projects with changing priorities.
  • Experience working in a high-volume, fast-paced environment where schedules require constant adjustment.
  • Advanced proficiency with scheduling systems, Microsoft Excel, and other operational software platforms.
  • Must be comfortable spending significant time reviewing schedules, analyzing data, and proactively identifying improvements.
  • Ability to work onsite full-time, five days per week.
