Under the direct supervision of the Chief Nursing Officer (CNO) or Nurse Manager , the Unit Secretary performs clerical and administrative duties that support the delivery of patient care and the efficient operation of the nursing unit. This role serves as a key communication hub for patients, families, physicians, and interdisciplinary healthcare teams.

The Unit Secretary may also assist with basic patient care activities within the scope of Certified Nursing Assistant (CNA) certification and under the direction of licensed nursing staff.

Essential Duties & Responsibilities

  • Serve as the primary receptionist for the nursing unit, ensuring timely and professional communication between patients, families, physicians, and healthcare providers.

  • Monitor incoming faxes, printers, and electronic communications for laboratory and pharmacy reports; promptly distribute information to the appropriate nursing staff.

  • Enter laboratory test orders accurately into designated laboratory systems.

  • Collect information from physician rounds, including physician orders, and communicate updates to nursing personnel while ensuring proper medical record documentation.

  • Assist with the completion and processing of physician orders and progress notes as needed.

  • Coordinate communication with radiology and other healthcare providers regarding required exams, procedures, and consultations.

  • Maintain Unit Secretary logs, records, and nursing station organization.

  • Respond to call lights promptly and courteously; assist with basic patient needs within the scope of CNA certification and under the direction of licensed nursing staff.

  • Assist in maintaining accurate and organized medical record files and documentation.

  • Maintain and organize unit supplies, including forms, office materials, and patient identifiers (e.g., armbands, labels), ensuring the nursing station remains stocked and orderly.

  • Support patient admissions and related administrative processes.

  • Provide exceptional customer service support to patients, families, staff, and visitors.

  • Promote a positive patient and family experience through professional, compassionate interactions.

  • Perform additional duties and special assignments as required.

Minimum Qualifications

  • High school diploma or equivalent required, including the ability to read, write, and comprehend medical terminology.

  • Previous Unit Secretary, Nursing Secretary, or Medical Secretary experience preferred.

  • Completion of a Medical Secretary or similar healthcare training program preferred.

  • Working knowledge of medical terminology, hospital operations, and professional telephone etiquette required.

  • Excellent customer service, communication, and organizational skills.

  • Demonstrated ability to work independently, prioritize tasks, and manage time effectively with minimal supervision.

  • Must meet all applicable state and local health regulations.

  • Certified Nursing Assistant (CNA) certification required.

  • Must maintain regular, predictable, and dependable attendance.

  • Ability to perform essential job functions with or without reasonable accommodation.
