About the Position:

This role is an on-campus, in-person position.

The Assistant Registrar of Transfer Services is responsible for oversight and daily processing of non-SMU academic records including domestic and international transfer credit, and setting up external organization designations in compliance with government regulations and University policies. This position tests updates and fixes and upgrades in my.SMU and Brainware, troubleshoots problems, researches various issues, implements new functionality, and provides users with documentation on transfer processes. This position works closely with academic deans and faculty to apply policies and implement procedures within those policies. The position also works closely with transfer students, making sure their credits transfer correctly and serves as advisor to SMU’s chapter of Tau Sigma National Honor Society. This position will support other areas of the Registrar's Office, including VA, Ceremonies, and returning student readmission.

Essential Functions:

  • Transfer Services - Oversee processing of Transfer Records and Business requirements; provide daily production support for transfer services; manage Academic Record’s Counselors and verify transfer academic caseloads are processed in a timely/ accurate manner; oversee Brainware software and transfer imaging; train staff on transfer processing.

Administer set-up of college and international external organizations; oversee processing of external transcripts used to determine transfer equivalencies to build and maintain transfer rules; communicate with academic areas to evaluate transfer courses; create/maintain/implement imaging schedule of all transfer related documents; test updates/fixes in PeopleSoft.

Assist with the online transfer petition process; complete preliminary athletic evaluations for Admission; attend college fairs in order to assist the recruitment process and answer any transfer questions; coordinate Tau Sigma National Honor Society; create, maintain, and implement a schedule to image all transfer related documents.

Assist Admission Counselors with questions, evaluations and course recommendations; maintain great relationships with administrative assistants, academic departments, and undergraduate advising; maintain relationships with transfer liaison at feeder institutions; answer transfer email communication from the Transfer Services and Registrar email accounts.

  • Research production - stop issues with IT developers and test possible solutions on SAS for Student Records module; write new and modify existing policy and procedures for Student Records processes, including data queries attached to these processes; write new and modify existing policy and procedures for Student Records processes, including data queries attached to these processes; design, implement and test new Student Records functionality in SAS

  • Veterans Certification - serve as backup for certifying veteran students for their VA benefits

  • Reinstatement/Reactivation of Students - serve as backup for the Coordinator of Readmission and Transfer, assisting with admissions, enrollment and business processes

  • Other duties as assigned, including support of academic ceremonies as needed.
