Valcourt Building Services is a premier provider of waterproofing, restoration, and window cleaning services. Valcourt works in commercial office buildings, high-rise residential buildings, parking garages, stadiums, hospitality buildings, and healthcare buildings.

We are looking for a highly organized Service Coordinator with excellent communication skills, strong attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The Service Coordinator will support daily operations by coordinating service requests, communicating with clients, scheduling crews, tracking work orders, and assisting management with administrative and operational tasks.

To be successful as a Service Coordinator, candidates should be professional, proactive, and comfortable working with clients, technicians, vendors, and internal teams. They should be able to handle scheduling, follow-ups, documentation, and communication with accuracy and urgency. Most importantly, the Service Coordinator should have a genuine desire to create a seamless and positive experience for both clients and team members.

Service Coordinator Responsibilities:

  • Coordinate service requests, work orders, and scheduling for field crews and technicians.
  • Communicate with clients regarding service needs, scheduling updates, project status, and follow-ups.
  • Assist management with daily operational and administrative tasks.
  • Track job progress, update internal systems, and maintain accurate service records.
  • Support dispatching by coordinating crews, materials, equipment, and job details.
  • Prepare reports, documents, and other service-related paperwork as needed.
  • Answer phone calls, respond to e-mails, and route requests to the appropriate team member.
  • Communicate professionally with clients, vendors, field employees, and internal departments.
  • Assist with billing, purchase orders, proposals, and job documentation when needed.
  • Create and manage SalesForce leads, opportunities, and Closed Won status updates.
  • Maintain PX scheduling and communication, including calendar management.
  • Serve as a liaison for service records within PX.
  • Support PX invoicing and related documentation.
  • Anticipate scheduling conflicts, client needs, and operational issues in order to support a smooth workflow.
  • Maintain a helpful, positive, and professional presence in the workplace.

Qualifications

Qualification

  • Prior service coordination, administrative, dispatch, or construction office experience preferred.
  • Experience with SalesForce lead creation, opportunity management, and Closed Won status updates preferred.
  • Experience with PX scheduling, communication, service records, calendar management, and invoicing preferred.
  • Strong communication and customer service skills.
  • Excellent computer skills, including Microsoft Office and general data entry.
  • Strong attention to detail and ability to stay organized
  • Ability to multitask and manage competing priorities.
  • Construction, restoration, waterproofing, or service industry experience may be preferred.
  • Multilingual may be preferred or required.
  • Desire to be proactive and create a positive experience for clients and team members.
