Project Coordinator

JOB SUMMARY

Under the direction of the of the Project Manager, the Project Coordinator assists with the logistical and administrative functions related to the day-to day operations of the Operations Division, and supports the planning, execution, and monitoring of projects and matters to ensure alignment with the agency’s goals. This role involves coordinating project activities, managing timelines, facilitating communication across teams, and preparing documentation to support compliance and reporting requirements. This role requires excellent multi-tasking skills, attention to detail, and the ability to communicate effectively with team members and stakeholders.
CORE RESPONSIBILITIES
Project Coordination:

  • Assist in planning, organizing, and managing project activities to meet goals and deadlines.

  • Coordinate communication between project teams, leadership, and stakeholders to ensure alignment.

  • Conduct project intake activities, including gathering initial requirements, clarifying scope, and documenting requests.

  • Perform project classification using established PMO criteria to determine complexity, priority, and appropriate management level.

  • Track project and matter progress, identify risks or potential issues, and recommend solutions or escalation paths.

  • Prepare and update project schedules, reports, trackers, and documentation in alignment with PMO methodologies and standards.

  • Facilitate project and coordination meetings, including preparing agendas, capturing decisions, and recording action items.

  • Support adherence to PMO processes, templates, and quality standards across assigned projects and matters.

Administrative and Operational Support:

  • Support operational processes by coordinating logistics, procurement, and resource allocation.

  • Supports the identification, revision, and ongoing maintenance of SOPs and policies.

  • Develop and maintain standard operating procedures for project and administrative and operational tasks.

  • Coordinate team resources including PPE and field supplies.

  • Project, administrative, and operational work as needed, and all other duties as assigned.

  • Maintain the highest standards of personal, professional and ethical conduct and support the Commission’s goals for a diverse and culturally aware workforce; and

  • Willingness and ability to work at the Commission’s Worcester headquarters; and

  • Ability to spend approximately 15% of the time out of the office and travelling throughout the state.
