About the Role
As a Senior Administration Officer - HomeCare, you will provide seamless organisational support for Executive(s) by managing communication, scheduling, and logistics. You will maintain calendars, prioritise emails and calls, and liaise with internal and external customers to facilitate efficient correspondence. Additionally, you will oversee filing and retrieval systems, process invoices, reconcile expenditures, and prepare reports, fostering a proactive work environment.
Responsibilities include:
- Ensures all communication, scheduling, appointments, meetings, reports, travel arrangements, and associated tasks for the Executive(s) are meticulously organised.
- Maintains calendar planning and appointment management for internal and external meetings and ensures the Executive(s) has all necessary documentation and information prepared in advance.
- Manages emails with discretion, prioritises urgent correspondence, sorts messages, and implements systems for efficient email storage and archiving. Maintains efficient filing, recording, and retrieval systems to support quick access to information and documentation.
- Screens and prioritises telephone calls directed to the Executive(s) and exercises judgment to ensure effective communication and responsiveness.
About You
To be successful in this role, our preferred candidate will have:
- Diploma required; Bachelor’s degree preferred; Business Administration, Event Management is preferred. Any other related discipline or commensurate work experience considered.
- Minimal experience in supporting Senior Executives in a medium to large organisation is preferred.
- Strong knowledge of Administrative Support, Data Entry, Workflow Management, Data Analysis and Reporting, Customer Relationship Management (CRM), Business Administration, Billing Operations and Business Documentation is preferred.
- Excellent Adaptive Thinking, Digital Literacy, and Operational Effectiveness skills.
